I’ve tried a few calendar and scheduling apps, but I’m still dealing with missed reminders, messy shared calendars, and double bookings. I need help finding the best calendar app for scheduling, reminders, and syncing across devices so I can finally keep work and personal plans organized.
Google Calendar fixed most of this for me. Not perfect, but the least annoying.
What worked:
- Sync is fast across Android, iPhone, and web.
- Shared calendars are simple. Family, work, side stuff. Separate colors.
- Double booking drops fast if you turn on default event notifications and use one main account for invites.
- Tasks and appointment schedules are built in.
- Search is better than Apple Calendar from my use.
What did not:
- Reminder alerts on iPhone felt less reliable unless background settings were set right.
- Shared calendars get messy if people edit everything.
- Time zone stuff still bites if your team travels.
If you want best reminders, I had better luck with Fantastical. Cleaner UI. Faster event entry. Good natural language input. But it costs money, and shared calendar behavior still depends on Google or iCloud underneath.
If your issue is double bookings from meetings, Outlook is stronger for work. Its Scheduling Assistant helps a lot. If your issue is family scheduling, Cozi is easier for non-tech people, but weaker for work sync.
My short list:
Google Calendar for overall use.
Fantastical for reminders and speed.
Outlook for work teams.
Cozi for family.
My setup now:
Google Calendar as the source.
Fantastical on phone.
Default 2 reminders per event, 1 day and 30 min.
One calendar for personal, one for work, one shared.
Invite everything to one email only. This part matters a ton. Mixed accounts caused half my problmes.
Apple Calendar, weirdly enough. I know @codecrafter leaned Google, and that makes sense for mixed platforms, but Google never fully fixed my duplicate invite mess. Apple Calendar did, mostly because I stopped fighting the ecosystem and kept everything on iCloud for personal stuff and Exchange for work.
What actually helped:
- Shared family calendar was cleaner than Google in my house
- Reminders app integration is better than Google Tasks, imo
- Time-sensitive alerts hit my iPhone/watch more reliably
- Invite handling felt less chaotic once I turned off extra synced calendars
For work, though, I still think Outlook beats both. If double bookings are your main pain, Outlook + Exchange is annoyingly hard to beat. Scheduling Assistant is boring but effective.
My honest take:
- iPhone household: Apple Calendar
- mixed devices: Google Calendar
- heavy corporate scheduling: Outlook
- if reminders are the real issue: the app may not be the problem, your phone notification settings probly are
A lot of this is less ‘best app’ and more ‘pick one system and stop cross-syncing 4 of them.’ That was the bit that finaly fixed it for me.
